Challenges
A TIC (Testing, Inspection, and Certification) service provider focuses on helping construction companies complete the submission process, ensuring compliance with government licensing review requirements. The submission process involves submitting a large number of complex forms, such as construction plans, construction material lists, and equipment specifications, which contain intricate formatting and calculation rules. To ensure the accuracy of form submissions, the company has integrated standard templates into the compliance submission system. After users fill out and upload the forms based on these templates, the system validates the entries, preventing rejections due to errors and improving submission efficiency. With business growth, the company now needs to upgrade the submission management system to address the following challenges:
- Poor user experience in form submission
The compliance submission system uses local form templates, requiring users to download, complete, and upload them for validation. If the validation fails, users must repeatedly modify and re-upload the forms. Given the complexity and volume of the forms, the process becomes cumbersome, resulting in a poor user experience.
- Difficulties in Generating and Maintaining Form Templates
A form template is generated by multiple business experts through various stages, including project initiation, research, creation, review, and upload. Frequent file transfers cause delays in real-time updates, resulting in inefficiencies and making it harder to identify errors promptly. With the accumulation of 80 million templates, maintaining and updating them has become increasingly difficult for the company.
- Lack of System Scalability
Because developers are unable to fully understand the complex business rules of each template from scratch, the compliance submission system struggles to expand its functionality for template generation, maintenance, and data entry. As a result, it merely serves as a “file storage” tool.
Solution
To improve the efficiency of form template generation and maintenance, and to simplify the submission process, the service provider’s R&D manager reached out to the Univer team and embedded Univer into the compliance submission system, effectively addressing the following issues:
- Real-time feedback on form submissions
After embedding the Univer SDK, users can fill out form templates directly online within the compliance submission system using Univer Spreadsheets. Univer Spreadsheets offers an Excel-like user experience, including features such as range statistics, copy-paste, undo-redo, drag-fill, and inserting/deleting rows and columns. Additionally, data validation and protected range features allow real-time validation of user input, reducing the need for frequent uploading and downloading, significantly improving the user experience.
- Form template generation through online collaboration
Univer supports multi-user collaborative editing and uses OT algorithms to resolve editing conflicts, allowing up to 200 people to edit a spreadsheet and 1,000 people to view it simultaneously. Business experts can collaboratively create form templates directly within the compliance submission system, with the template content being updated in real-time and stored in the database. By using Univer, the service provider can migrate 80 million form templates online, preserving complex formulas and formatting, greatly improving the efficiency of template generation and maintenance.
- High Scalability
Univer adopts a modular plugin architecture, with each plugin corresponding to a specific function, and currently offers over 100 plugins. Developers have expanded features like formulas, data validation, permission control, and conditional formatting, making the generation, maintenance, and submission of form templates more flexible and efficient.
